POSITION ROLE

The Payroll Clerk is responsible for accurately processing payroll transactions for employees within an organization. They ensure timely and precise disbursement of salaries, wages, bonuses, and other financial compensations. Payroll Clerks handle various administrative tasks related to payroll processing, including data entry, verifying timekeeping records, calculating deductions to include garnishments, and resolving payroll discrepancies.

ROLE RESPONSIBILITIES

  1. Payroll Processing:
    1. Collect and review timesheets, attendance records, and other relevant documentation to calculate employees’ hours worked.
    2. Input and maintain employee information, including salary, deductions, bonuses, and tax withholding, into the payroll system.
    3. Process payroll transactions accurately and efficiently according to established deadlines.
    4. Verify accuracy of payroll data and make any necessary adjustments or corrections.
    5. Calculate and process special payments, such as overtime, bonuses, and commissions.
  2. Deductions and Taxes:
    1. Calculate and deduct appropriate taxes, including federal, state, and local income taxes, as well as social security and Medicare.
    2. Process voluntary deductions, such as health insurance premiums, retirement contributions, and garnishments.
    3. Ensure compliance with relevant regulations and laws regarding payroll taxes and deductions.
  3. Record-Keeping and Reporting:
    1. Maintain accurate and up-to-date payroll records, including employee information, earnings, deductions, and taxes withheld.
    2. Generate payroll reports as needed for management or regulatory purposes.
    3. Prepare and distribute pay stubs, direct deposit statements, and other payroll-related documents to employees.
  4. Communication and Customer Service:
    1. Respond to employee inquiries regarding payroll matters, including pay discrepancies, tax withholdings, and deductions.
    2. Provide assistance and support to employees with payroll-related issues or concerns.
    3. Collaborate with HR department and other relevant stakeholders to ensure payroll processes align with company policies and procedures.
  5. Compliance and Audit:
    1. Ensure compliance with relevant laws, regulations, and company policies related to payroll processing.
    2. Assist with internal and external audits by providing accurate payroll records and documentation as needed.
    3. Stay informed about changes in payroll laws and regulations and implement necessary updates to payroll processes.

QUALIFICATIONS & EDUCATION REQUIREMENTS

To be qualified, the Payroll Clerk must have:

  • A High School diploma or equivalent; additional education or certification in accounting, finance, or related field is preferred.
  • Proven experience as a Payroll Clerk or in a similar role, preferably in a corporate or organizational setting.
  • Strong mathematical aptitude and attention to detail.
  • Proficiency in payroll software and Microsoft Office applications, particularly Excel and QuickBooks.
  • Knowledge of payroll regulations, tax laws, and compliance requirements.
  • Excellent organizational, communication, follow-up, and problem-solving skills/
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong ethics and integrity in handling financial transactions and employee data.
